Establish and track FY 2022 departmental space reduction goals for rentable square foot reduction for office space. Ability to multiple tasks simultaneously, prioritizing and completing assignments within established deadlines. Tracks assigned tasks and projects, correspondence, etc., from inception to completion and addresses each within the time frames set by the supervisor. Meets projected deadlines and quality expectation on assigned projects, including the issuance of policy and guidance, etc., and responses to requests from management and the National Office, to ensure outcomes meet planned objectives. Release or redesign of space are reviewed for compliance with all applicable rules, regulations, policies and other requirements. Continuously reviews rent bills and charges for accuracy and aggressively resolves billing issues on behalf of customers. Job tittle: Support Services Specialist (Procurement) Duties, Accomplishments and Related Skills: Coordinates, communicates, and ensures cooperation among the contractor, CO, and associated personnel, for the purpose of anticipating and resolving difficulties, and ensuring satisfactory completion of the contract. Maintains an arms-length relationship with the contractor in the interest of procurement integrity as well as sound contract management. Preserved revenue streams where possible with strong communication and negotiation skills, used refunds as last resort to maintain customer satisfaction. Educate agencies/ customer on budget spending. Monitors the day-to-day administration of the contract. Documents all actions taken and decisions made as COR. Maintains a complete file for each contract (e.g., reports, approvals, certifications, telephone/email records, memorandums of record, and/or correspondence) that can be audited or accessed in order to facilitate contract review, evaluation, and closeout. Coordinates with the CO on the content of any contractually significant correspondence addressed to the contractor, in order to prevent possible misunderstandings or the creation of a condition that may be the basis of a later claim. Assures that the CO is provided a copy of any correspondence sent to the contractor. Provides sound technical advice/clarification to the contractor and CO regarding the scope and terms of the contract. Ensures timely progress of contract performance, and immediately informs the CO of any lack of commitment to customer satisfaction by the contractor and/or any technical or contractual difficulties which may affect the contract. As advised by the CO, informs the contractor of failure to comply with the terms and conditions of the contract. Inspects, accepts, and rejects services and/or deliverables in accordance with the terms of the contract. Complies with laws, regulations and standards that prescribe ethical conduct in acquisitions, and prevent fraud, waste, and abuse. Monitors the control and disposition of Government furnished assets pursuant to the terms of the contract and further approval of the CO. Coordinates security requirements on Government installations or facilities. Coordinates site entry for Contractor personnel, if applicable. Develops/submits timely procurement requests to the CO, in accordance with applicable procurement guidelines. At the request of the CO, evaluates proposals for and participates in negotiations of changes, modifications, and claims Ensures that changes in the work, services and resulting effects on delivery schedule are formally made by written supplemental agreement or change order issued by the CO before the contractor proceeds with the changes. In accordance with COR delegation, executes receipt and acceptance documents, and reviews and approves invoices, in accordance with the terms of the contract. Ensures that the customer is receiving the end product or service for which it is paying, and that payment is approved only for appropriate cost/prices identified in the contract. Prepares any required reports on contractor performance by means of, for example, the, Contractor Performance Assessment Reporting System. Assists with duplication and printing services. Serves as a liaison between customer and contractor to handle inquiries from customers, and the general public. Arranges for shipping and transportation of goods and investigates and processes loss/damage claims against carriers. Assists with developing, maintaining, and testing the Regional Continuity of Operations Plan. Supports performance of essential functions regardless of operating environment. Participates in training on communications security procedures and in regularly scheduled interagency exercises.
